**About AirHub® Portal and airspace**

* **What is LAANC?** LAANC (Low Altitude Authorization and Notification Capability) is an FAA program that gives drone pilots near real-time access to controlled airspace at or below 400 feet. It also gives air traffic professionals visibility into where and when drones operate. Learn more on the [FAA LAANC page](https://www.faa.gov/uas/getting_started/laanc).
* **What is B4UFLY?** B4UFLY is an FAA-approved airspace awareness tool for recreational drone flyers. It shows controlled and uncontrolled airspace, maximum authorized altitudes near airports, restricted or prohibited airspace, and other key safety information. Recreational flyers must operate below 400 feet at all times. Learn more on the [FAA B4UFLY page](https://www.faa.gov/uas/getting_started/b4ufly).
* **What are NOTAMs?** A NOTAM (Notice to Air Missions) is a time-sensitive notice containing information essential to flight operations that wasn't known far enough in advance to be publicized through other means. See the [FAA NOTAM page](https://www.faa.gov/about/initiatives/notam/what_is_a_notam) for official definitions.
* **What are local advisories?** Local advisories are time-sensitive notices created by State and Local Governments to inform pilots about activity in their community. They typically cover incidents, events, special ordinances, emergency operations, or sensitive infrastructure (schools, hospitals, helipads, prisons, stadiums, public spaces). Advisories supplement FAA airspace data and do not replace it.
* **Can pilots use AirHub® Portal to submit LAANC requests?** Yes. AirHub® Portal is an FAA-approved LAANC supplier. Pilots can log in, plan an operation, and submit a LAANC request directly to the FAA without leaving the app.
* **Do I need AirHub® Portal for recreational flying?** You don't need a paid license, but AirHub® Portal's free **Personal** tier gives you the tools you need: B4UFLY airspace awareness, LAANC submission, and a 14-day weather forecast. All recreational flyers must pass the [TRUST Safety Test](https://www.faa.gov/uas/recreational_flyers/knowledge_test_updates), register any drone over 0.55 lbs (250 grams), stay below 400 ft AGL, and have Remote ID compliance if registered.
* **What does AirHub® Portal offer State and Local Governments?** AirHub® Portal lets State and Local Governments publish local advisories and ground risk data alongside FAA airspace data, so pilots in their community can plan safer flights. Common uses include flagging sensitive infrastructure, broadcasting event-driven restrictions, and coordinating with emergency operations.
* **How will DJI removing GEO Zone data affect me?** DJI's GEO Zone system previously prevented DJI drones from taking off in areas DJI flagged as restricted. As of 2024, DJI no longer enforces these restrictions in software. Use AirHub® Portal's airspace briefing and LAANC submission to confirm where you can legally fly. See DJI's [GEO System update](https://viewpoints.dji.com/blog/geo-system-update) for context.

**Licensing and accounts**

* **What license tiers are available, and how do they differ?** AirHub® Portal offers four tiers: **Personal (Free)** for recreational and Part 107 pilots (B4UFLY, LAANC, 14-day weather forecast). **Starter** adds fleet management, exports, calendar view, and basic reporting. **Team** adds tags, internal approvals, weather widget, file attachments, HexGen risk assessments, and shared operations. **Advanced** adds Public (PAO) Part 91 operations, UTM services, Survey123 form integration, and additional admin tools.
* **Which AirHub® Portal mobile app is the correct one?** Look for AirHub® Portal published by Airspace Link on the [iOS App Store](https://apps.apple.com/us/app/airhub-portal/id6447011672) or [Google Play](https://play.google.com/store/apps/details?id=com.airspacelink.portal_wrapper\&hl=en_US). A different app with a similar name exists on both stores and is not affiliated with us.
* **Why didn't I receive a password reset email?** Most often, this happens because the account was created with **Continue with Google** or **Continue with Apple**, not with an email and password. Password reset only works for accounts created with the email **Sign up** option. If you used Google or Apple, sign in with that provider instead. If you're sure you used email and still didn't receive the reset, check your spam folder, then contact <helpdesk@airspacelink.com>.
* **How do I cancel or change my subscription?** Reach out to <helpdesk@airspacelink.com> and our team will assist with cancellations, downgrades, or plan changes.

**Operations and LAANC submissions**

* **I can't edit or delete a LAANC operation. Why?** Once a LAANC operation has been approved by the FAA, it's locked. To edit or delete it, first cancel the LAANC authorization: open the operation, find the LAANC approval, click the three-dot menu next to it, select **Cancel**, then confirm with **Proceed**. The authorization is now cancelled and you can edit, delete, or resubmit the operation.
* **I submitted a LAANC request but was told I need "Further Coordination." What now?** Further Coordination is required when you request to fly above the LAANC grid ceiling for that airspace (for example, 200 ft in a 100 ft grid, or any altitude in a 0 ft grid). Click **Add Justification** in the LAANC drawer, then explain why you need to fly at the requested altitude. Include aircraft details, pilot certifications, and how you'll operate safely under Part 107. Submit at least 3 days before your operation (we recommend a week to allow for resubmission if denied). The FAA can take up to 90 days to respond, though most responses come faster.
* **What is the FAA's DroneZone, and why is AirHub® Portal sending me there?** The [FAA's DroneZone](https://faadronezone-access.faa.gov/) handles requests AirHub® Portal can't submit on your behalf. You'll be sent there if your flight is in restricted airspace with a 0 ft LAANC ceiling, or in airspace with a grid ceiling but no LAANC enablement. In those cases, submit your request directly through DroneZone.
* **How do I look up a NOTAM in my airspace?** When AirHub® Portal's Advisory widget shows a NOTAM, click it to see the details panel. Copy the NOTAM number (e.g. `KPBI 11/013`), then open the [FAA NOTAM Search page](https://www.faa.gov/about/initiatives/notam/), switch the search dropdown to **Free Text**, and paste in the identifier.

**Team and fleet management**

* **How do I invite team members and assign User Types?** Managers can invite team members from **Manage > Resources > Users**. Each invite requires an email address and one or more User Types: **Director** (account-level admin), **Manager** (organization-wide oversight and approvals), **Operator** (plans and executes their own operations), **Planner** (plans operations on behalf of others), or **Observer** (read-only situational awareness, no Plan or Manage access). A single user can hold multiple User Types, except Observer, which is exclusive.
* **How do I add aircraft to my organization's fleet?** Go to **Manage > Aircraft** and click **+ Add Aircraft**. Capture the make, model, owner, Remote ID, and any custom tags. Fleet aircraft are automatically treated as Trusted and become available when planning operations.

**Data, integrations, and exports**

* **How do I sync DJI flight logs?** AirHub® Portal supports importing DJI flight records (`.txt`), Pixhawk telemetry (`.bin`), and generic flight files (`.csv`, `.kml`). DJI Cloud syncing is also supported with separate setup. See the [Integrations, Setup, and Customizations](https://support.airspacelink.com/integrations-setup-and-customizations) section for the full workflow.
* **Can I export operations and flight logs?** Yes. Starter and above can export operations as a CSV from the Plan tab. The export includes IDs, names, PIC assignments, flight types, altitudes, GeoJSON coordinates, and time zones. Managers can export across the entire organization. Operators export only their own records.

When an ArcGIS map is registered to your AirHub® Portal organization, every searchable layer now appears with a magnifying glass icon, and all of that layer's attributes are searchable. Open the search on a layer and type a value to match against its attributes, or use a wildcard (%) to match partial values and return everything that fits. Select a result to zoom straight to that feature on the map. Each result displays its field alias so you always know which attribute was matched, and you control what shows by updating the field alias in ArcGIS. ## New "Observer" User Type

Extend airspace visibility across your organization with a new view-only user type designed for people who need situational awareness without action authority. Observers can view live and historic drone traffic, alert areas, incursions, active operations and their details, and drone classifications set by your team. Operation creation, crew and asset management, and other actions are not available to this user type, keeping it focused on oversight rather than execution.

⚠️ The Observer user type hides the Manage and Plan tabs to keep the experience focused on view-only access. Do not assign Observer in conjunction with other user types. If you do, expected functionality from those other user types will be hidden. ⚠️

## New Public (PAO) Part 91 Operation Type

A new operation type built for government agencies, defense installations, and other organizations flying under an FAA-approved COA, MOA, or equivalent authority. Selecting Public (PAO) Part 91 when planning an operation categorizes the flight accurately for missions like search and rescue, law enforcement patrol, or base operations, without forcing pilots to mislabel the work as Recreational or Commercial. Because LAANC doesn't apply to Part 91 operations, the LAANC section is automatically hidden when this type is selected.

## New "Other" Operation Type

A flexible catch-all for operations that don't fit standard categories. #### User Types

Within each tier, specific user types enable role-based functionality. The user types available to your organization depend on your license tier:

Both Owners and Administrators can invite, update, delete, and assign user types and admin permissions. Any user can be designated an Owner or Administrator regardless of their assigned user type.

**ADS-B (Automatic Dependent Surveillance–Broadcast)** Electronic conspicuity technology in which an aircraft periodically broadcasts its GPS position, allowing nearby pilots to see and avoid.

**Advisory (Community Advisory)** Information notices published by AirHub® Portal organizations to communicate local flight policies, temporary hazards, or events to the flying public.

**AGL (Above Ground Level)** Altitude measured relative to the ground surface directly beneath the aircraft.

**Briefing** Automated assessment of a specific map location to determine airspace class, active restrictions, and operational requirements.

**BVLOS (Beyond Visual Line of Sight)** Operations where the aircraft flies beyond the visual range of the RPIC or VO, typically requiring an FAA waiver.

**Checklist** A reusable template of questions built by a Manager and completed by operators against operations, standardizing pre-flight, post-flight, and other safety procedures.

**Classification (Drone Classification)** A user-applied label that categorizes a detected drone as Trusted, Neutral, or Blacklisted, with a required reasoning note. Classifications recolor the drone on the map and list view for the whole team and save to a Classification History log.

**Controlled Airspace** Airspace (Classes B, C, D, and E) requiring FAA authorization via LAANC.

**FRAT (Flight Risk Assessment Tool)** A scored checklist supporting the go/no-go decision. Answers carry risk scores that roll up to a Low, Moderate, or High Risk outcome against organization-defined thresholds.

**HexGen Surface Engine** A geospatial modeling engine that analyzes selected features (e.g. schools, hospitals, power lines) to calculate a surface score for a geographic area. Commonly used for risk assessments and operation suitability analysis.

**Incursion** Unauthorized entry of an aircraft into a prohibited volume or a defined Alert Area.

**LAANC (Low Altitude Authorization and Notification Capability)** FAA program providing near real-time processing of airspace authorizations for Part 107 and recreational pilots in controlled airspace. Includes Auto-Approval (at or below UAS Facility Map altitudes) and Further Coordination (above those altitudes, requiring manual ATC review). **MSL (Mean Sea Level)** Altitude measured relative to average sea level. Used primarily for crewed aviation and weather reporting.

**NOTAM (Notice to Air Missions)** Notice alerting pilots of potential hazards along a flight route or at a location.

**Operation** A digital record in AirHub® Portal representing a 3D volume of airspace, a time window, and the crew/aircraft assignments needed to execute a flight.

**PAO (Public Aircraft Operations)** FAA term for flights conducted by government entities (federal, state, local, or tribal) under a Certificate of Waiver or Authorization (COA), Memorandum of Agreement (MOA), or equivalent authority. Includes missions like search and rescue, law enforcement patrol, and military base operations.

**Part 91** FAA framework for general operating and flight rules. In drone management, this often applies to public aircraft operations under a Certificate of Waiver or Authorization (COA).

**Part 107** FAA framework for routine small UAS commercial operations (under 55 lbs.).

**Part 108** Proposed FAA framework for BVLOS operations, designed to enable scalable, complex drone operations and UTM service integration.

**PWA (Progressive Web App)** A web-based application that provides a native app-like experience through your browser, installable on desktop and mobile without an app store.

**Remote ID** A digital license plate for drones that broadcasts identification and location information to help authorities identify drones flying in unsafe areas or where prohibited.

**RPIC (Remote Pilot in Command)** The person holding final authority and responsibility for the safety of a UAS flight.

**Shared Operation** A read-only operation plan explicitly shared by a Sending Org with a Receiving Org to improve regional deconfliction.

**SGI (Special Government Interest)** Process used by government entities to request expedited waivers or authorizations for UAS operations supporting public interest or emergency response.

**Telemetry** Automated communication used to collect and transmit real-time data from an aircraft. In AirHub®, this refers specifically to the live location and flight path of the drone.

**TFR (Temporary Flight Restriction)** Short-term restriction on an area of airspace due to a hazardous condition, special event, or general warning.

**UAS (Unmanned Aircraft System)** Commonly called a drone. The complete system required to safely operate an unmanned aircraft.

**Uncontrolled Airspace (Class G)** Airspace where ATC services are not provided. Operations here don't require FAA authorization, but pilots must still comply with Part 107 or Section 44809 rules and maintain situational awareness via B4UFLY.

**UTM (UAS Traffic Management)** A collaborative digital ecosystem that allows multiple drone operators and service providers to share data, coordinate flight paths, and maintain situational awareness. Enables automated deconfliction and safe integration of complex drone operations.

**VO (Visual Observer)** A person who assists the RPIC in seeing and avoiding other air traffic or ground objects.

**Work Order** A service request, typically received from an external system like ServiceNow, that provides geographic area and project requirements used to schedule one or more operations.

AirHub® Portal is a Progressive Web App (PWA), a web-based application that runs in your browser and can be installed for a native app-like experience.

#### Browsers

For a desktop app experience, click the **Install Icon** in your browser's address bar while on portal.airspacelink.com. This installs AirHub® Portal as a standalone application.

#### Onboarding (For New Organization Owners)

When a new organization is created, the designated Owner receives an email invitation:

1. **Check your inbox for the invitation email from AirHub® Portal.**
2. **Activate your account.** Click the activation link in the email to activate your account and log in for the first time.
3. **Set up your team.** Navigate to **Manage > Resources > Users** to invite team members and assign User Types (Operator, Planner, Manager, etc.).

   Once invited, team members will follow the same email-based activation flow.

Before flying, complete your user profile so your information is associated with operations, flight logs, and LAANC submissions.

1. **Open your account details.** Click your **Organization Icon** in the top-right corner of any page, then click your username.
2. **Enter contact information.** Fill in your **Name**, **Email address**, and **Phone number**. The phone number is required for LAANC submissions.
3. **Add your certification.** Under **Certification Management**, enter your **FAA Part 107 Certificate Number** and **Renewal Date**.

   AirHub® Portal will automatically display an **"Expiring Soon"** or **"Expired"** badge on your profile based on the renewal date you provide. Managers can see these badges across the organization to track certification compliance.

The **Nearby** section of the Briefing widget shows advisories and restrictions within a **2 nautical mile radius** of your pin. Review these before you fly, even if your specific location is clear, conditions nearby may affect your operation.

If your organization has drone detection sensors integrated with AirHub® Portal, you can record and visualize all drone flights within the sensor coverage area. Use this tool to audit past activity, identify trends, and investigate specific incidents.

#### Accessing Historic Traffic

Navigate to **Discover > Traffic > Historical**.

#### Filtering the View

* **Date & Time Range:** Defaults to the last 7 days. Adjust to find specific windows of activity.
* **Min/Max Height (ft):** Filter for flights at specific AGL altitudes.
* **Cluster Results:** Toggle to switch between grouped totals and individual flight tracks.

#### Analyzing Flights

The dashboard surfaces:

* **Aggregate metrics:** Total flights, average daily volume, and average flight duration for the current map area
* **Individual flight paths:** Select any flight from the list or map to display its full path, including takeoff and landing points
* **Flight details panel:** Includes the unique Flight ID, Date & Time, Duration, Last Known Position, Max Height, and Detection Source (e.g. DeDrone, uAvionix)
* **Controller location:** Look for the Controller icon on the map, if your sensors captured the operator's position, you'll see it there

<summary><strong>Alert Areas &#x26; Incursion Monitoring</strong></summary>

Alert Areas are user-generated geographic boundaries that trigger real-time system alerts and retain incursion data when a drone detection intersects the defined volume. They're used for protecting sensitive sites, monitoring critical infrastructure, and maintaining a long-term record of incursion events.

#### Creating an Alert Area

1. **Navigate to Discover > Traffic > Alert Areas.**
2. **Start a new alert area.** Click **+ Add Alert Area**, or use the **Quick Actions (+)** button from anywhere in the app.
3. **Define the volume.** Draw the boundary using **Circle**, **Square**, or **Polygon**, then set the **Min/Max Altitude** range to monitor.
4. **Set the active period.** Choose **Ongoing** for indefinite monitoring, or **Temporary** with fixed start and end times.
5. **Configure notifications.** Select recipients from your organization to receive **Email** and **In-App Notifications** when an incursion occurs.

#### Managing Alert Areas

**To edit:** Click the three-dot menu next to the Alert Area name and select **Edit Alert Area**. You can update the title, description, active period, volume, or notification list.

**To delete:** Select **Delete Alert Area** from the same three-dot menu.

**Deletion is permanent.** When you delete an Alert Area, the virtual boundary and all associated incursion records are permanently removed. If you want to stop receiving alerts but keep historical incursion data, set the active period end date instead.

#### Status Indicators

* **Active** - Currently monitoring for incursions
* **Inactive** - A temporary area whose end date has passed. No longer triggers alerts but remains on your list for historical review.

#### Reviewing Incursions

When an incursion occurs, you can access detailed flight information two ways:

1. **Notification link.** Click the direct link in the **Email** or **In-App Notification** to jump straight to the flight track.
2. **In-App review.** Within the **Alert Areas** menu, expand a specific area and select an incursion from the list. The **Flight Details** panel shows:
   * **Flight Path.** The drone's full path on the map.
   * **Flight Information.** Flight ID, Max Altitude (AGL), Data Source (e.g. Aerial Armor), Date/Time of detection, Total Duration.
   * **Controller Location.** If the operator's position was captured, a Controller icon appears on the map.

An **Operation** is the 3D volume of airspace you intend to fly in, combined with all the details needed to execute that flight. It acts as a single, organized record covering location, crew, aircraft, weather, compliance, and documentation.

#### What an Operation Contains

#### Two Ways to Create an Operation

There are two ways to create an Operation:

1. **Quick Action Workflow.** Click the **Quick Actions (+)** button > **New Operation**. This opens a blank planning template.
2. **Contextual Workflow (from Discover).** On the Discover tab, drop a pin on the map at your flight location. If the briefing shows **"Clear to Fly"** or **"Get Approval"**, click the button to transition into the Plan workflow with the geometry and location pre-populated.

#### Planning Steps

1. **Define Overview & Categorization.** Enter a descriptive, searchable **Title** and **Description**.

   Categorize the operation by its regulatory framework. Available types:

   * **Recreational (Section 44809).** Hobbyist flights under the FAA's recreational rules.
   * **Commercial (Part 107).** Routine small UAS commercial operations under 55 lbs.
   * **Public (PAO) Part 91** (🟣 **Advanced+**). Government missions flown under an FAA-approved COA, MOA, or equivalent authority (search and rescue, law enforcement patrol, base operations, etc.). LAANC is automatically hidden for this type since it does not apply to Part 91.
   * **Other** (🟣 **Advanced+**). Catch-all for operations that don't fit standard categories. Use this for helicopters, fixed-wing aircraft, or other crewed work alongside drone operations, and for deconfliction and records management of mixed-mission portfolios.

   Apply organizational tags (🔵 **Team+**) to capture data in high-level reports.

Tag creation is restricted to users assigned the Manager user type. Contact your organization's Manager to request additions to the tag library.

1. **Establish the Plan Volume.** Use the **Circle**, **Square**, or **Polygon** tools to draw the geographic boundary on the map. Enter the operational ceiling (Max Altitude) in feet AGL to define the 3D volume.
2. **Schedule the Timing.** Choose the **Start Time**, **Duration**, and **Time Zone** to define when the airspace will be active.
3. **Assign Crew & Aircraft.** Designate the Pilot in Command (PIC) and supporting crew. Select aircraft (🟢 **Starter+**) from your organization's registered fleet.
4. **Assess Weather Risks.** AirHub® Portal automatically pulls weather data for your specific flight time up to **14 days in advance**. The Weather widget (🔵 **Team+**) shows current and forecasted conditions, with a state indicator that surfaces in the corner of the widget as the status changes:

   Expand the widget to see per-metric readings (Visibility, Precipitation, Cloud Base, etc.). In Warning or Danger states, the specific metrics out of range carry their own colored indicator dots.

5. **Manage Compliance & Approvals.** The **Compliance** section of the operation brings together four components, in the order they appear:
   1. **Checklists (🔵 Team+).** Complete a pre-flight checklist or a scored Flight Risk Assessment (FRAT) built by your organization. FRAT totals compute live as you answer, surfacing a Low, Moderate, or High Risk outcome against your safety team's thresholds. See [Checklists](/airhub-portal-user-guide) for the full workflow.
   2. **LAANC Authorizations.** Submit LAANC requests directly to the FAA for controlled airspace access.
   3. **Internal Approvals (🔵 Team+).** Submit the plan to notify your Manager and request approval.
   4. **UTM (🟣 Advanced+).** Use UTM services to strategically deconflict operations that conflict with your plan.
6. **Attach Documentation (🔵 Team+).** Drag and drop (or click to upload) site maps, risk waivers, or other critical documents, up to **30MB per file**, directly to the operation record.
7. **Conduct HexGen Risk Assessments (🔵 Team+).** Run **Surface Profiles** to perform quantitative risk assessments for ground hazards and obstacles within your operational volume. See [Surface Profiles & HexGen](/airhub-portal-user-guide) for details.
8. **Complete Custom Forms (🟣 Advanced+).** Launch integrated **ArcGIS Survey123 forms** if your organization has deployed them for pre-flight or post-flight data collection.

#### My Operations (All Users)

A personalized workspace for **Operators** to track and manage operations they're directly involved in, either as creator or assigned crew. This is a filtered view of the organizational registry showing only your operations.

#### Organization Operations (🔵 **Team+**, Manager User Type)

A specialized oversight hub for **Managers** containing the complete record of all scheduled, active, and completed operations across the entire organization. Use it to monitor workloads, deconflict resources, and audit compliance.

#### Visualization Modes (Same in Both Views)

**Filters** (🟢 **Starter+**): Refine by Tags, Crew, Aircraft, Compliance status, or Date Range

Click **Export Operations** to download a comprehensive CSV file including IDs, names, PIC assignments, flight types, AGL altitudes, geographic coordinates (GeoJSON format), and time zone information. Managers can do this for the entire organization; Operators export only their own records.

The **Shared Operations** tab provides a centralized view of drone activity from external partners and subcontractors. It helps Managers coordinate schedules and prevent conflicts by surfacing where and when other organizations are operating in shared areas.

#### What Information Is Shared

To protect privacy, only essential data is visible to the receiving organization:

* Organization Name
* Organization Logo
* Planned Date & Time
* Max Altitude

**Not shared:** Personal pilot information, specific FAA authorization details, crew assignments, or any internal operational notes.

#### Viewing Shared Operations

Managers can toggle between three viewing modes:

* **List View** - Sortable and filterable record of all incoming shared plans
* **Map View** - Geographic footprint of shared flights to identify potential conflicts
* **Calendar View** - High-level schedule for coordinating flight windows over time

#### Limitations

Shared operations are **read-only**. You cannot:

* Edit shared records
* View crew details for the sending org's operations
* Export shared data to CSV

<summary><strong>Publishing Community Advisories</strong></summary>

**Community Advisories** are notices published by an organization to inform the public and other operators of local flight policies, safety hazards, or specific events. Once published, they appear on the AirHub® Portal map and Briefing widget for all users.

#### Creating an Advisory

1. **Click Quick Actions (+) > Advisory to open the creation flow.**
2. **Define the affected area.** Use the map tool to draw the boundary with **Circle**, **Rectangle**, or **Polygon**. Use **Delete** to remove the existing geometry and redraw.
3. **Configure the advisory using the fields below.**

   | Field                   | Description                                                                                              |
   | ----------------------- | -------------------------------------------------------------------------------------------------------- |
   | **Category**            | Choose **Emergency**, **Administrative**, or **Recreational**                                            |

<summary><strong>Surface Profiles &#x26; HexGen Risk Assessment</strong></summary>

**Surface Profiles** leverage the HexGen Surface Engine to provide quantitative evaluations of ground hazards. They're used for risk assessments, route planning, and supporting waiver and COA applications, letting organizations standardize safety evaluations across their teams.

#### How HexGen Works

HexGen analyzes selected geographic features (hospitals, schools, parks, power lines, correctional facilities, and more) and calculates a cumulative risk score for any geographic area. The results visualize as a high-resolution grid overlay on the map.

You control which features matter most by assigning **risk weights**. The system uses your weighted model to produce the final score.

#### Creating a Surface Profile

1. **Navigate to Plan > Surface Profiles and click Create (+).**
2. **Select features.** Click **Add Features** to choose hazards from the list (e.g. Hospitals, Correctional Facilities, Schools, Parks, Power Lines).
3. **Assign risk weights.** While any numeric value is allowed, we recommend a standard **0 to 10 scale**:

   | Weight  | Meaning                                                                  |
   | ------- | ------------------------------------------------------------------------ |
   | **0**   | Lowest risk, feature has no impact on the profile's safety scoring       |
   | **1–4** | Low to moderate concern                                                  |
   | **5–7** | Significant hazard, should be avoided when possible                      |
   | **8–9** | Critical, strong avoidance                                               |
   | **10**  | Critical Risk / Avoid, system treats this feature as a must-avoid hazard |
4. **Review scoring.** The HexGen engine uses your weights to calculate a cumulative risk score for any geographic area you apply the profile to.

#### Applying a Surface Profile

Once saved, a Surface Profile can be applied to any operational volume to conduct a detailed assessment. From within an Operation, navigate to the risk assessment section and select the profile you want to run.

**Tip:** Create multiple profiles for different mission types. For example, a profile weighted heavily toward schools and parks for daytime delivery missions, and a separate profile weighted toward critical infrastructure for nighttime inspection flights.

The **Operate** tab is your organization's real-time tactical Operations Center. It provides a unified view of all airspace activity, live operations, detected drones, crewed traffic, and sensor health, to support immediate awareness, decision-making, and incident response.

#### The Operations List

The Operations list shows a live view of all operations occurring on the current day.

**Live Status Tracking**

Operations are categorized by their time-based lifecycle:

* **Upcoming** - Scheduled but not yet started
* **In Progress** - Currently active
* **Ended** - Completed

**Quick Details**

Click any entry to reveal high-level details: planned Duration, Max Altitude (ft AGL), assigned RPIC, and the specific aircraft being used.

**Full Operation Record**

Click **Operation Details** to access the complete record, including compliance information, site documentation, and any associated Work Order ID.

**Locate on Map**

Click the **Locate** icon to center the map on a specific Operation.

#### Monitoring Shared Operations

If organization-to-organization sharing is enabled (see [Shared Operations](/airhub-portal-user-guide)), the Operate tab gives you real-time visibility into operations from external partners.

1. **Enable the overlay.** Use the **"View Shared Operations"** toggle at the top of the Operations widget to add shared operations to your map view.
2. **Identify external activity.** Look for the shared operation symbol icon and the partner organization's name to distinguish shared operations from your own.
3. **Monitor start times.** Use the live countdown timers to see exactly when shared operations are set to begin. This is useful for timing your own operations to maintain safe separation.
4. **Expand any shared operation card to see its altitude and duration.** If a shared operation looks close to your own, use the **Locate** tool to zoom directly to their boundaries for a closer evaluation.

<summary><strong>Drone Detection</strong></summary>

The **Drones** tab aggregates data from your organization's integrated sensor network, Remote ID, RF, Radar, and more, to display all detected drones within sensor coverage.

#### Reading the Map

Each detected drone displays an icon color-coded by its current **Classification**. Your team sets Classification using the workflow described in [Drone Classification](#drone-classification).

**Map Symbols:**

* Remote ID serial number
* Current speed
* Altitude

* Data source (e.g. DeDrone, uAvionix, Aerial Armor)

#### Controller Tracking

Click the **Controller** button to identify the operator's ground position and view the drone's flight path. This is especially useful for incident response.

#### Incident Support

Need to follow up with law enforcement or regulatory authorities? Copy the **Remote ID serial number** for verification against external databases.

**Drone Classification** (🟣 **Advanced+** with drone detection sensors integration) lets your team capture judgment about detected aircraft directly in AirHub® Portal. Each classification is timestamped, attributed to the user who made it, and visible to anyone with access to the drone. The map and list view recolor for the whole team the moment a classification is saved.

#### The Three Classifications

#### How to Classify a Detected Drone

1. **Open the drone detail panel.** Select the drone from the Drones tab or click its icon on the map.
2. **Click Change Classification.** AirHub® Portal presents two paths:
   * **Add to Fleet.** Registers the drone as a known aircraft within your organization. Use this when the drone belongs to your team or to an asset you own. Captures make, model, owner, tags, and serial number, with the detected Remote ID prepopulated. Fleet aircraft are automatically treated as Trusted.
   * **Classify External.** Assigns a **Trusted**, **Neutral**, or **Blacklisted** classification to a third-party drone. A short reasoning note is required before the classification can be saved.
3. **Save.** The drone recolors on the map and in the Drones list for everyone in your organization with access to the drone detection.

#### Classification History

Every classification, change, and reclassification saves to a **Classification History** log on the drone detail panel. Each entry preserves:

* The classification applied
* The user who made the decision
* The timestamp
* The reasoning note

This shared record supports after-action review and lets your team's situational awareness build over time and across people.

**Use case: Recurring incursions.** If the same Remote ID drifts into a no-fly perimeter twice in a month, classify it Blacklisted with a reasoning note referencing the prior incidents. The next time it shows up, the whole team sees red on the map and can escalate immediately.

#### Situational Awareness Features

**Aircraft Type Icons** The map differentiates between **fixed-wing aircraft** and **helicopters** using unique icons, important for assessing relative speed and predicted flight paths.

**Leader Lines** A **60-second leader line** extends from each aircraft, showing its projected direction and speed. Use these to anticipate potential conflicts well before they happen.

The **Sensor Status Widget** provides a real-time health indicator for your organization's integrated drone detection network.

#### Reading the Indicator

The status indicator sits in the **top-right corner** of the map while on the Operate tab:

* **Static Green**, All sensors are receiving data
* **Pulsing Red**, One or more sensors require attention

Click the indicator to expand the **Sensor Status drawer** from the right side of the screen.

#### Sensor Health States

| State       | Meaning                                 |

| **Online**  | Sensor is actively transmitting data    |
| **Warning** | No data received for 12–24 hours        |
| **Offline** | No data received for more than 24 hours |

#### Diagnostic Information

For each deployed sensor, the drawer displays:

* **Vendor** (e.g. DeDrone, Aero Defense, Skydio)
* **Category** of data being received

**Geographic Centering** Click the locate icon within the Location field (to the right of the latitude and longitude) to zoom and center the map on the sensor's physical hardware location.

<summary><strong>Work Order Management</strong></summary>

Work Order Management bridges AirHub® Portal with enterprise ticketing systems like **ServiceNow** and **ArcGIS Survey123**. This workflow lets your organization receive service requests through familiar tools, while ensuring all data flows seamlessly into AirHub® Portal as your Drone Operations Management System (DOMS).

#### How It Works

**System Integration** (🟣 **Advanced+**) Work requests flow in automatically from your external system via API and webhooks. Priority levels, due dates, and requester descriptions stay consistent across all your platforms.

**Record Generation**

When a request is received, AirHub® Portal automatically generates a Work Order including a unique Work Order ID and the requested operation area pre-populated on the map.

#### Scheduling Operations for Work Orders

1. **Navigate to Manage > Work Orders.**
2. **Triage work requests.** Review active requests using the interface, a map at the top and an interactive list below it.
3. **Review operational requirements.** Click any record in the list or on the map to expand the **Details Drawer** from the right side of the screen. Read the **Work Description**, verify the **Due Date**, and check the **Priority** assigned by the external system.
4. **Evaluate geography and airspace.** Requested flight boundaries are automatically highlighted on the map. Click the **Zoom (Map Icon)** next to a record to center the map on that operational volume.
5. **Schedule operations.** Click the **Schedule (Calendar Icon)** on a Work Order to bridge its details into the Plan tab. The operation pre-populates with the requested geometry and other applicable information.

   A single Work Order can be linked to multiple scheduled operations if the task requires repeating flights.
6. **Monitor the lifecycle.** Track the task as it moves through **New**, **Scheduled**, and **In Progress** statuses. Status updates are automatically sent back to the external requester via webhook in real time.
7. **Complete the Work Order.** Once all operations are finished, click the **Edit (Pencil Icon)** within the drawer and:

   * Set status to **Completed**
   * Add any final notes
   * Paste the link to the deliverable (e.g. SharePoint folder, ArcGIS Online layer) into the **Document Repository** field

   This action notifies the requester and closes the loop.
8. **Analyze demand trends.** Access the **Reports** sub-tab to visualize creation and completion trends over time.

<summary><strong>Flight Logs (3 Fidelity Levels)</strong></summary>

AirHub® Portal serves as the primary system of record for flight activity. Flight logs capture the **actual** performance of an operation in the field, and they're how your organization maintains an auditable history for compliance, ROI analysis, and continuous improvement.

#### Three Levels of Flight Log Fidelity

AirHub® Portal supports three creation methods, from basic manual entry to fully automated:

#### Level 1: Manual Record (🟢 **Starter+**)

Basic manual entry of pilot, aircraft, and flight duration. Location is recorded as a single point on the map.

#### Level 2: Telemetry Upload (🔵 **Team+**)

High-fidelity records created by importing telemetry data files:

* **DJI** (.txt)
* **Pixhawk** (.bin)
* **Generic** .csv and .kml

#### Level 3: Automated Uploads (🟣 **Advanced+**)

Zero-touch logging via direct integrations that eliminate manual entry entirely:

**AirHub® Sync** Uses the AirHub Sync App (Android APK) installed on DJI enterprise controllers to securely transmit logs to your account upon flight conclusion. [View DJI Setup](/airhub-portal-user-guide)

**Skydio Cloud** Automatically logs new flight activity and enables live aircraft position tracking in the Operations Center via Skydio's GPS and Telemetry webhooks. [View Skydio Setup](/airhub-portal-user-guide)

#### Who Can Create Flight Logs

* **Operators** can create and manage flight logs only for operations where they are the assigned Remote Pilot in Command (RPIC).
* **Managers** can create and manage flight logs on behalf of any Operator within the organization.

#### Manual Workflow (Levels 1 & 2)

Locate an Operation within the Plan tab (via My Operations or Organization Operations) and click Add Flight. This pre-populates the record with the assigned crew, aircraft, and operational volume.Navigate to Manage > Flight Logs and click Add Flight. This requires manually searching for and associating the flight with an existing Operation plan.

#### Completing the Flight Log

1. **Refine or add the flight location.** Choose the approach based on your fidelity level:
   * **Level 1.** Search for an address and drop a point on the map. Use this if location data wasn't inherited or you need higher granularity than the operation volume.
   * **Level 2.** Use the **Files** tab to upload supported telemetry files. Associate them under the **Telemetry** section of the **Summary** tab, then click **Parse** (graph icon) to plot the precise path.
2. **Assign Crew & Aircraft.** Select the RPIC, any supporting crew, and the specific Aircraft system used.
3. **Document flight details.** Toggle the **Incidents** switch if the operation experienced an anomaly (Fly Away, Mechanical Failure, Collision with Object, etc.) and add a detailed description. Use the **Notes** section for general execution information.
4. **Manage files.** Navigate to the **Files** tab to upload supporting documentation (up to 30MB per file).
5. **Complete custom forms (🟣 Advanced+).** If an ArcGIS Survey123 form is deployed for your organization, complete it to associate post-flight data with the record.

Maintenance logs document every repair, inspection, and hardware modification for your fleet. They provide the audit trail necessary for regulatory compliance and program accountability, and let Managers track maintenance intervals, identify recurring mechanical issues, and optimize total cost of ownership across the fleet.

#### Two Ways to Log Maintenance

Navigate to Manage > Maintenance and click + Log Maintenance. Manually select the Aircraft from the dropdown.Locate an aircraft in Manage > Aircraft, click to open the drawer, and select the Maintenance tab. Click + Log Maintenance. The record automatically associates with that aircraft.

#### Completing a Maintenance Record

1. **Overview.** Select the **Date** and identify the user who **Approved** the work.
2. **Details.** Identify who **Performed** the work, and select the **Maintenance Type**: Inspection, Repair, Replacement, Modification, or Other.
3. **Inventory.** Use the **Parts Maintained** dropdown to select specific components (Propellers, Frame, Gimbal, Battery, etc.).
4. **Outcome.** If the maintenance requires a validation flight, select an existing **Test Flight** log to associate the safety verification with the service record.
5. **Update status.** Update the **Aircraft Status** to **Airworthy**, **Needs Maintenance**, **Retired**, or **Unairworthy**.

The **Users** tab is the hub for managing your organization's team, assigning user types, and monitoring pilot qualifications. Maintaining accurate certification records ensures your operators stay in compliance with regulatory standards.

#### Account Hierarchy

* **Owners:** Exactly one Owner per organization, the primary account holder initially invited by Airspace Link. Owners have the unique authority to designate Administrators.
* **Administrators:** Authorized to manage all users, including inviting new members, updating assigned user types, and removing users.

#### Inviting a New User

*(Admin only)*

1. **Navigate to Manage > Users.**
2. **Click + Invite User to open the invitation drawer.**
3. **Enter the user's Email Address.**
4. **Toggle the Admin switch if the user needs to invite or manage other members.**
5. **Assign user types.** Assign one or more User Types (**Director**, **Manager**, **Operator**, **Planner**) to define interface access and operational authority.

#### Monitoring Pending Invitations

Click the **Invited** sub-tab to track outgoing invites. Use the individual record menu to **Resend** the notification or **Delete** an invitation.

#### Managing Existing Users

Click any user record to expand the **Details Drawer**:

* **Summary tab:** View and edit profile information, contact details, and FAA certificate data
* **Flights section:** Review personal flight analytics, total Flight Hours and Number of Flights within the last 30 days
* **Edit Permissions:** Click the three-dot menu and select **Edit Permissions** to modify User Types or Admin status

The **Aircraft** tab is the hub for managing your organization's drone fleet. Keeping an accurate aircraft registry ensures every operation is linked to the right aircraft, which is necessary for accurate telemetry pairing, maintenance tracking, and compliance reporting.

#### Registering a New Aircraft

1. **Navigate to Manage > Aircraft.**
2. **Click + Add Aircraft to open the registration drawer.**

#### Identity

* **Name**
* **Manufacturer**
* **Model**
* **Owner** - the user responsible for the hardware

#### Categorization

Apply tags for:

* **Equipment** (LiDAR, Optical, Thermal, etc.)

* **Anti-collision lighting** - toggle on if the hardware is equipped for twilight or night operations

#### Registration

* **Remote ID Registered** - toggle on once the aircraft is registered with the FAA
* **Remote ID Method** - how the aircraft broadcasts its Remote ID (Standard, Broadcast Module, or Unknown)
* **Remote ID Serial Number** - the broadcast serial used to match live detections to this fleet aircraft

**Required for your fleet aircraft to appear Trusted (blue) on the map.** For a detection to be matched to this aircraft, and color blue in Historical Traffic and the Operations Center, you must both toggle **Remote ID Registered** on *and* populate the **Remote ID Serial Number**. Without both, the system cannot associate the detection with your fleet, and the aircraft will appear Neutral (green) until someone manually classifies it.

#### Establishing a Home Base

Use the search bar or drop a point on the map to set the aircraft's primary storage location. Enter a specific **Location Description** (e.g. "Main Hangar, Bay 4").

<summary><strong>Checklists</strong></summary>

Checklists and Flight Risk Assessment Tools (FRATs) let your organization standardize its safety process inside AirHub® Portal. A **template** is a reusable set of questions your safety team writes once, so every operator follows the same pre-flight workflow and risk-assessment policy. Templates replace paper checklists and disconnected PDF forms, and every completed record ties back to the operation it was filed against.

#### **Two Template Types**

* **Standard checklist.** Tracks item-by-item completion, for example a pre-flight or post-flight checklist.
* **FRAT.** A scored risk assessment. Each answer carries a risk score, and the totals roll up into a **low**, **moderate**, or **high-risk** outcome shown in green, yellow, or red.

#### **Who can use this** (🔵 Team+)

Manager user types can create, duplicate, or archive templates. Operator and Manager user types can complete a template once it is active. Capability-to-role mapping is configured for your organization.

**Templates are immutable once created.** This protects historical records, so an entry filed last year always reads exactly as it was completed. To revise a template, duplicate it and archive the original (see below). There is no edit action.

#### The Checklists Page

Everything lives at **Manage > Resources > Checklists**, which has two views toggled at the top right:

* **Templates** - the library of active templates, with type, creator, created date, and status. Use the **Sort & Filter** drawer to search by keyword, filter by type, or check **Show archived** to include retired templates.
* **Entries** - every completed entry across the organization, showing the template used, type, **Outcome** (FRAT only), who completed it, and when. This is where compliance reviewers filter records and where Managers void entries.

#### Creating a Template (🔵 Team+)

* **Navigate to Manage > Resources > Checklists** and click **+ Create Template**.

* **Choose the template type.** The builder first asks **"What kind of template?"** Select **Standard Checklist** (pass/fail tracking, no scoring) or **FRAT** (scored risk assessment with outcome bands). The type cannot be changed after the template is saved.
* **Name and describe the template.** The **Name** is required. The optional **Description** appears in the template picker and at the top of the completed form, so use it to tell operators when to use this template.

* **For a FRAT, set overall thresholds.** Enter the moderate-risk and high-risk score thresholds for the whole assessment, plus the **action text** operators see when each threshold is crossed (for example, "RPIC must mitigate before flight" or "NO-GO. Director approval required").

* **Add sections.** Organize the template into ordered sections. For a FRAT, each section can carry its own optional moderate-risk and high-risk thresholds and action text.

* **Add items to each section.** Choose an item type:
  * **Check**
  * **Single-choice** (user picks one option)
  * **Multi-choice** (user picks any number of options)
* **Configure each item.** Add a title and optional **help text** to explain the question. Click the **star icon** to mark the item **Required**; operators must answer required items (shown with a red asterisk) before submitting.

It is not recommended to make **Check** items required in **FRAT** checklists, as the form validation will require that the item be checked before the user can submit the entry

* **For a FRAT, assign scores.** Give a Check item a single score, or score each option on choice items. On a multi-choice item, each selected option adds its score to the item total.
* **Check the FRAT preview.** As you build, a preview panel shows the **maximum possible points**, the **outcome bands** your thresholds create, and **per-section max scores**, so you can sanity-check your thresholds before saving.
* **Save.** The template validates and becomes available to operators in the active list.

#### **Duplicating a Template**

To create a revised version, select the "duplicate" action icon in the templates list view. The creation form opens pre-filled from the source. Saving creates a new, independent template. The original is untouched. Consider archiving the older template version afterwards.

**Archiving a Template**

Choose **Archive** action icon in the table view to retire an outdated template. Archived templates disappear from operators' active lists, so no new entries can be filed against them. Existing entries that reference the template are preserved and still render in full.

#### Completing and Reviewing Checklists (🔵 Team+)

Operators complete a checklist or FRAT against the operation it belongs to or with no parent record at all. A completed entry is a permanent, read-only document that captures the operator's responses and, for a FRAT, the computed totals and outcome.

**Completing an Entry**

1. **Open the operation** you are flying, then open its **Checklists** tab in the **Compliance** section and click **+Checklist**.

2. **Pick a template.** The **New checklist entry** drawer lists your organization's active templates grouped by type (**FRAT** and **Checklists**), each with its description. Use the search bar to filter by name.

3. **Answer the items.** Required items are marked and must be answered before you can submit. Help text appears beneath each item.<br>
4. **For a FRAT, watch the risk score.** A **Risk Score** bar at the top shows your running total against the template's maximum (e.g. 40/345 pts) with the current outcome badge (Low, Moderate, or High Risk). Raw and mitigated totals update the moment you answer or mitigate an item.

5. **Apply mitigations (FRAT).** When you answer an item that carries a risk score, a mitigation row appears. Enter a **mitigated value**, which replaces the item's default score, and an optional description of the action you took.

6. **Add ad-hoc risks (FRAT).** Use **Add Risk** to capture a risk or mitigation the template did not anticipate. Each row takes a description and a score and contributes to the totals.

7. **Flag cancellation if needed (FRAT).** Check **Flight cancelled due to elevated risk** to document a cancellation. This is informational and does not change the computed outcome.
8. **Submit.** The entry is saved as an immutable record and the outcome banner is shown.

**No operation open?** You can also complete an entry directly from **Manage > Resources > Checklists > Entries > + Create Entry**. Entries created this way are not linked to an operation.

#### Viewing checklist entries

Open an entry from the operation or the entries table to see the full record: who completed it, when, the **Linked Record** link back to the operation, and every section and response. FRAT entries also show the outcome banner with the mitigated points total and its action text, per-section outcome badges where section thresholds were set, each mitigated value and description, section subtotals, and overall raw and mitigated totals. If the template has since been archived, the entry shows an "archived" note and still renders in full.

#### **Voiding an Entry**

Entries cannot be edited after submission. To correct one filed in error, a manager identifies the entry in the entries table (Manage > Resources > Checklists), selects the **Void** action icon in the table, and enters a required reason. Voided entries are hidden from default lists but remain in the system for audit and are still retrievable. There is no "unvoid" action; re-complete the checklist instead.

Tags are the primary mechanism for categorizing and filtering organizational data across Operations, Aircraft, and Flight Logs. A well-designed tag library makes it easy to slice your data by department, project, mission type, or any other dimension that matters to your team.

#### Tag Groups vs. Tags

AirHub® Portal uses a hierarchical structure to prevent clutter and ensure consistent categorization:

* **Tag Group:** A category or container, e.g. "Department," "Project Type," "Funding Source"
* **Tag:** A specific label within that group, e.g. under "Department" you might have "Engineering," "Public Safety," and "Maintenance"

#### Creating Tag Groups and Tags

1. **Navigate to Admin > Tags.**
2. **Create a Tag Group.** Click **Add Tag Group (+)**, enter a **Group Name** (e.g. "Strategic Operation Objective"), and assign a **Color** to help users visually distinguish it in the field.
3. **Populate tags.** Click into the group and add individual tags, such as "Routine Inspection," "Emergency Response," or "Training."
4. **Administrative oversight.** Managers can edit, rename, or archive tags at any time. Updates propagate globally across all historical records associated with that tag.

#### Where Tags Show Up

While Managers define the library, the value of tags is realized during the operational lifecycle:

* **Aircraft categorization:** Tag aircraft (e.g. "High-Res Thermal") so Planners can filter the registry for specific hardware during operation setup
* **Operational intent:** Operators tag Operations and Flight Logs (e.g. "Project: North Bridge") to document the purpose of each flight
* **Downstream reporting:** Tags power filtering across Aircraft, Flight Logs, and Operations, and the Reports sub-tabs. For example, a Director can generate a "Total Flight Hours" report filtered to the "Public Safety" department tag.

#### Tagging Best Practices

**Start small.** Begin with two or three tag groups covering your most-used dimensions. You can always add more.

**Use color intentionally.** Reserve attention-grabbing colors (red, orange) for tag groups that demand quick recognition, like incident or compliance status, and use calmer colors for organizational dimensions like department.

**Avoid duplication.** Before creating a new tag, check whether an existing one fits. Sprawling tag libraries are hard to keep consistent.

**Review quarterly.** Audit the library each quarter to archive tags no longer in use.

The Weather Widget evaluates all metrics simultaneously. The overall state reflects the most severe condition present, so if every metric is in the Ready range except one in the Warning range, the overall state will be Warning.

# Invite Users and Assign User Types

#### User Management

Managing your team is crucial for streamlined drone operations within AirHub Portal. This section outlines how organizational administrators can invite and manage users, assigning roles that dictate access to features and functions.

**Inviting and Managing Users**

When an organization is set up, an email is sent to the designated administrator. This administrator then has the ability to invite other users to join their organization within AirHub Portal.

1. **Administrator Initiates Invitation:** The organization administrator sends an invitation to a new user via their email address.
2. **Assigning User Types:** The administrator assigns one or more specific User Type(s) to the new user. These user types directly impact which features and functions are available to the user within AirHub Portal.

**AirHub Portal User Types**

The following user types are available to assign, each granting specific permissions and access levels within the platform:

* **Operator:** Focused on executing flights. Operators can create, read, and update their own flight logs, view aircraft, and update the status of assigned operations and work orders.
* **Planner:** Geared towards preparing for operations. Planners can create and manage operations and work orders, prepare flight logs, and view organizational resources like aircraft and users.
* **Manager:** Offers broader oversight of organizational activities. Managers have visibility into, and can edit, all operations created within their organization. They can read, update, and sometimes create various operational entities such such as aircraft, flight logs, and work orders. Crucially, they have access to review and approve operations.
* **Director:** Provides comprehensive oversight and strategic management. Directors have extensive read/write access across almost all operational data, including the ability to create, update, and delete advisories, aircraft, flight logs, operations, and work orders.
* **Administrator (Admin):** The top-level role for system configuration and user management within an organization. Administrators have extensive read/write access across nearly all system entities, including managing user types (e.g., assigning Planner, Operator, Manager, Director, or other Admin roles) and overall organizational settings.

# Updating Your User Profile

Once an individual accepts an invitation to join an organization in AirHub Portal, they should update their personal user profile to ensure accurate and complete information is recorded. This information is vital for compliance, tracking pilot currency, and facilitating effective communication within your organization.

**How to Update Your Profile:**

1. Navigate to your profile by clicking on your user icon or name in the **top right corner** of the AirHub Portal interface.
2. Select **"Account Details"** from the dropdown menu.

**Key Profile Information to Update:**

* **First Name:** Your first name.
* **Last Name:** Your last name.
* **Email:** Your primary contact email address (typically pre-filled).
* **Phone Number:** Your primary contact phone number.
* **Certificate Details:**
  * **Certificate Number:** Your drone pilot certificate number.
  * **Certificate Issue Date or Last Renewal:** The date your certificate was issued or last renewed.
  * **Certificate Renewal Date:** The date your certificate is due for renewal.

**Saving Changes:**

# Aircraft Management

Now that profiles are updated and users belong to the organization, managers should proceed to build out the aircraft inventory. This ensures all operational assets are properly tracked and managed.

* **How to Add Aircraft:**

  * Navigate to the 'Manage' Tab, then to the Aircraft' section, found under 'Resources'.
  * Click the '+ Add Aircraft' button.
  * Enter relevant details for each drone, including: Name, Status (e.g., Airworthy, Retired, Needs Maintenance), Manufacturer, Model, Owner, Registration Number, Registration Renewal Date, and Serial Number. This detailed inventory aids in compliance, maintenance tracking, and operational planning.

# Using Custom Tags for Operation Categorization

Once Custom Tags have been configured by a user with a Manager role, users can easily apply them during operation planning and use them to filter and organize data.

### Steps to Associate Tags to an Operation:

1. Create a new operation

* Within the Overview section, click the blue plus button <img src="/files/1fDZ6DrXTg9fi3xCN8KN" alt="" data-size="line"> just under "Associated Tags."
* Select all relevant tags from the groups that appear, and click Done.
* Click Save Operation to finalize the categorization of your operation.


# Creating an Operation

This guide will walk you through the process of creating a new drone operation within AirHub<sup>®</sup> Portal, ensuring all necessary details are captured for efficient planning, compliance, and safe execution.

#### 1. Check the Airspace

Before creating an operation, it's crucial to understand the airspace at your intended location.

* Utilize the AirHub Portal's integrated map to check for controlled airspace, federal aviation advisories, and other relevant information.
* For flights in controlled airspace, you may need to obtain LAANC authorization, which can often be done directly within the portal.

#### 2. Initiating a New Operation & Defining Operation Volume

There are two primary methods for initiating a new operation and defining its geographical volume:

* **From Discover:** When creating an operation directly from the "Discover" tab (e.g., after identifying a specific area on the map), the operation volume will be automatically generated based on your selected area.
* **Using the 'Plus' Button:** Alternatively, you can initiate an operation by clicking the '+' button located in the upper right corner of the interface. This method will require you to manually draw the desired operation volume on the map.

#### 3. Configuring Operation Details

Once the operation is initiated and its volume defined, proceed to configure the specific details of your operation:

* **Operation Overview:**
  * **Title:** Provide a clear and concise title for your operation.
  * **Description:** Add a detailed description of the operation's purpose or scope.
  * **Operation Type:** Select the appropriate operation type, such as "Recreational Section 44809" or "Commercial Part 107".
* **Date, Time, and Duration:**
  * Specify the exact **date and time** for the operation's planned start and end.
  * Set the **duration** of the planned operation.
  * Confirm the correct **time zone** for the operation location.
* **Assigning Resources:**
  * **Pilot In Command (PIC):** Assign the certified pilot who will be responsible for the operation. The system will pull their profile information for this section.
  * **Aircraft System:** Choose the specific drone from your organization's inventory that will be used for this operation.


# Compliance

Ensuring compliance with aviation regulations and internal organizational policies is a cornerstone of safe and lawful drone operations. AirHub Portal facilitates various types of compliance:

#### 1. LAANC Authorizations (from the FAA)

LAANC (Low Altitude Authorization and Notification Capability) authorization from the FAA is required if your drone operation is within controlled airspace. If your operation is not within controlled airspace, this authorization is not required.

If your operation is within controlled airspace, you can submit for LAANC authorization directly through the system.

* **Instant Approval:** For eligible operations, instant approval may be available upon submission.
* **Further Coordination:** If your operation requires further coordination from the FAA, you can submit for that through our system. Please note that such requests require a 72-hour notice period for processing.

Additionally, when submitting for LAANC, you can toggle on the **Variable Height** feature. This allows you to adjust authorizations to maximum grid ceiling heights for automatic approval, while respecting those heights during operation.

#### 2. Internal Approvals

AirHub<sup>®</sup> Portal supports internal approval workflows to ensure operations align with company policies and safety protocols. In order for an operator to submit an operation for approval, the designated reviewer must be assigned a user role of "Manager". Managers have access to review and approve operations. This process helps maintain enhanced safety and compliance before an operation can proceed.

#### 3. UTM (Unmanned Aircraft System Traffic Management)

*(Coming Soon)* AirHub Portal is actively working to integrate UTM capabilities, which will provide advanced traffic management features for complex airspace environments.

# Executing an Operation & Automatic Flight Log Capture

Once an operation has been planned and approved (if required), the pilot can proceed to execute the flight. AirHub<sup>®</sup> Portal facilitates seamless flight log capture to ensure comprehensive record-keeping for every operation.

* **Operation Execution:** The pilot conducts the drone operation as planned.
* **Automated Flight Log Capture:** To ensure flight logs are automatically captured during execution, pilots with appropriate aircraft and controllers can install the [**Flight Log Sync App**](/setup-integrations-and-customizations/dji-flight-log-syncing) on the supported controllers. This app enables automated flight log syncing with your AirHub<sup>®</sup> Portal account. This feature is particularly beneficial for organizations with Team and Advanced licenses, streamlining the data collection process.


# Operations Center: Monitoring Operations and Activity in Real-Time

The AirHub® Portal's Operations Center, a core feature of the Advanced License, provides Managers and Directors with a "Single Pane of Glass" for comprehensive, real-time situational awareness. It enables them to monitor their organization's operator and drone activity throughout the day, ensuring safety and compliance across all operations.

From the Operations Center, Managers and Directors can:

* **View Operations:** Gain a complete overview of all planned, ongoing, and completed operations within the organization for the current day.
* **Monitor Drone Traffic:** Track the movements of your organization's drones and other drone traffic within the operational area, contributing to a holistic view of the airspace.
* **Monitor Airspace Changes:** Observe dynamic changes in airspace classifications and advisories affecting operational areas.
* **Access Integrated Weather Data:** View current and forecasted weather conditions relevant to ongoing and planned operations, aiding in real-time decision-making.
* **Track Crewed Aircraft (ADSB) Traffic:** See real-time Automatic Dependent Surveillance–Broadcast (ADSB) data, providing visibility into nearby crewed aircraft for enhanced safety.


# Manually Create Flight Log from Operation

Even if automated flight log capture via the [Flight Log Sync App](/user-guides/executing-an-operation-and-automatic-flight-log-capture) is not used, Operators can manually create a flight log and associate it with a specific operation. This process ensures that a record of the actual flight details is linked to its corresponding operational plan.

**Steps to Manually Create a Flight Log:**

1. Navigate to the relevant operation within AirHub<sup>®</sup> Portal after its completion. You can find past operations in the "Plan" section.
2. Within the operation's detailed view, locate and click the **"+ Add Flight"** button.
3. Once that button is clicked, you can enter all the necessary information to properly log the record of your drone flight. This includes details such as:
   * **Flight Summary:** Operation plan, date and time, and duration.
   * **Location:** The exact geographic location of the flight.
   * **Crew:** Details of the Remote Pilot in Command and any additional crew members.
   * **Aircraft System:** The specific aircraft used for the flight.
   * **Incidents:** If any incidents occurred during the flight, you can toggle this option on and provide details. This includes selecting an **Incident Type** and a detailed **Description of the incident**.
   * **Notes:** Any additional notes or observations about the flight.

**Manually Uploading Telemetry Files:** In addition to manual data entry, you can also manually upload telemetry files (such as DJI (.txt, .csv), Mavlink (.bin), or .kml files) directly to a flight log. Uploading these files automatically associates the telemetry data with the flight log and generates a visual flight path for the recorded flight.

# Setup Order of Operations

4. Add the secured [Custom Web Maps](/setup-integrations-and-customizations/arcgis-online-custom-map-data-integration) and share them with that group, so users can open the maps once signed in to Esri.
5. Connect [Skydio Cloud](/setup-integrations-and-customizations/skydio-cloud-integration) (after operators).
6. Connect your work order integration and Drone Detection Sensors. ## Why the Order Matters

A few dependencies drive every scenario above:

* **Users first.** Most integrations assume users already exist in AirHub Portal, so users and operators are added early.
* **SSO is configured early, enforced last.** Configuring before you add users lets them be provisioned once under their SSO identity, avoiding duplicate accounts you'd have to reconcile later. Enforcing (disabling native sign-in) comes last, after validation.
* **Secured web maps are gated by group membership.** A permissioned Custom Web Map is shared with one or more ArcGIS groups, and only users in those groups can load it. Two things have to line up: your users must be in the group, and the web map must be shared with that same group. With SSO, users land in the group automatically through your identity provider's group membership; without SSO, use New Member Defaults to keep them in it. This is why secured maps come after users, add them before users are provisioned and there's no one in the group yet, which creates a poor sign-in experience. Public web maps have no group dependency and can be added anytime.
* **Skydio needs operators.** Skydio Cloud only syncs post-flight logs and telemetry for operators that already exist in AirHub Portal.
* **Work orders and sensors are independent.** Neither depends on users, so they can be set up whenever convenient.

## ArcGIS Group Assignments

* **With SSO**, drive AirHub Portal group membership from your identity provider's groups, so users land in the correct groups automatically at sign-in.
* **Without SSO**, use **New Member Defaults** to automatically add every new member to a baseline set of groups.


# Custom Tags Setup and Management

Custom Tags give managers with and AirHub Portal Organization the ability to standardize categories and identifiers, ensuring consistency when tracking operational attributes across the team. This guide covers the initial configuration of Tag Groups and individual Tags for use across the platform.

### Prerequisites:

* Licensing: An Airhub Portal Team License or Higher is required.

### Steps to Configure Tag Groups and Tags:

1. Navigate to Admin on the left-hand menu to access Tags Management.
2. Select an existing tag group to edit and add tags, or click "+ Create Tag Group" to create a new tag group and tags.
3. Define the Tag Group:
   * Title: Enter a descriptive name for the group (e.g., *Project Name* or *Team Name*).
   * Select Tag Color: Choose a color to visually distinguish this group in the platform.
   * Available For: Select which entities can utilize these tags. This is currently limited to:
     * Operations: For associating tags during operation planning.
     * Aircraft: For tracking aircraft-specific attributes.
     * Flight Logs: For tracking the specific purpose and execution details of a completed flight.
4. Click Save Tag Group. The group is now created and appears in the Tags list.
5. Add Tags to the Tag Group:
   * Use the Add Tag field to enter the name of an individual tag.
   * Click the Create New Tag button after entering the tag name.
6. Click Save Tag Group.

### Tagging Inspiration

When building your organization's custom tag groups, consider the data points that are most critical for filtering, reporting, and operational efficiency:

Operations and/or Flight Logs:

* Operation Purpose: Survey, Mapping, Delivery, Security-Patrol
* Project: Project-Alpha, Infrastructure-2026, North-Bridge
* Regulatory Environment: Part-107, Waiver-12345, Restricted-Airspace

This guide outlines the steps for integrating Esri Survey123 custom forms with AirHub® Portal to enhance data collection for various data entities, including Operations, Users, Aircraft, and Flight Logs. Integrating Survey123 with AirHub® Portal empowers users to **customize data collection** for their specific needs, streamlining workflows, enhancing data quality, and providing deeper operational insights.

***Note:** This guide focuses on integrating Survey123 for custom data gathering slots, which is distinct from the Survey123 Work Order Requests functionality.*

#### Integration Steps

The integration process involves creating your Survey123 form and then coordinating with AirSpace Link support for its configuration within AirHub® Portal.

1. **Decide Form Location:** Determine where your Survey123 form will be embedded within AirHub® Portal in terms of workflow:

   * **Supplemental Operation Creation Information (Plan Tab):** Ideal for capturing pre-flight information (e.g., weather conditions, pilot certifications, equipment checks) when creating a new operation.

2. **Login to Survey123:** Access Survey123 at [`https://survey123.arcgis.com/`](https://survey123.arcgis.com/) and log in with your ArcGIS Online credentials.
3. **Create a New Survey:** Click the "Create a new survey" button on the landing page. You will have two options:
   * **Using the web designer (Recommended):** This user-friendly interface allows for visual drag-and-drop form building and is recommended for most users.
   * **Using a survey template:** Choose from pre-built templates for common scenarios and customize them. You can find the "UAS Pre-Flight Checklist" template under the "Community" tab, or access it directly at [`https://survey123.arcgis.com/surveys/templates/3fe63637f4ac41a88f8ba685f0e2a242`](https://survey123.arcgis.com/surveys/templates/3fe63637f4ac41a88f8ba685f0e2a242) if you wish to use AirSpace Link's pre-flight checklist.
   * *(Advanced)* You can also use Survey123 Connect to create complex forms with advanced features like repeating sections and custom calculations.
4. **Design Your Survey:**

   * If using the web designer, you will see a blank canvas. Use the right-hand panel to explore and drag and drop desired question types onto your canvas. Available question types include single-line text, multi-line text, number, date, time, date and time, email, website, single select, multiple select, Likert scale, ranking, map, address, image, file upload, audio, and signature.
   * Configure each question by editing its text, answer choices, and any additional settings like required answers or default values.
   * Organize your questions logically for a clear user experience.

5. **Add the Required "entityId" Field:** To properly associate your Survey123 form with a specific record (entity) in AirHub® Portal (e.g., an operation, user, aircraft, or flight log), you **must** include a field named `entityId` (camel case). This field serves as the unique link between your survey data and the AirHub® Portal entity.

   * This `entityId` field should be a **Singleline Text** type.
   * This ID field can be configured as **hidden** within your Survey123 form if you prefer, ensuring a cleaner user interface while maintaining the crucial link.

6. **(Optional) Adjust Appearance to Match AirHub® Portal:** For visual consistency, you can adjust your Survey123 form's background color to **HEX 18181B** and text color to **HEX FFFFFF**.
7. **Preview and Test:** Click the "Preview" button to see how your form will appear to users on various devices. Test your form by completing it yourself to ensure everything functions as intended.
8. **Publish Your Survey:** Once satisfied with your form, click the "Publish" button to publish it publicly.
9. **Configure Feature Service Editing Settings (Critical for Updates within AirHub® Portal):** For seamless editing of submitted data within the AirHub® Portal (allowing previously submitted data to be recalled and updated when revisiting a form associated with a Portal entity), the associated Feature Service in ArcGIS Online must have specific editing capabilities configured.

   * **Access:** In ArcGIS Online, navigate to the "Content" section, find the **Feature Layer Form View** associated with your Survey123 form. Click on its item details page, then go to the **"Settings"** tab.
   * **Apply the following settings: Editing Section:** Under the "Editing" section, apply the following settings:

10. **Obtain Necessary URLs and IDs:** After publishing your survey, you will need to gather the following:
    * **Survey123 Sharing URL (includes `surveyid`):** Open the published form and copy its URL. It will look like `https://survey123.arcgis.com/share/your-survey-id`. The `your-survey-id` part is the `surveyid`.
    * **Survey123 Feature Service URL (`serviceURL`):** In ArcGIS Online, navigate to the "Content" section. Find the Feature Layer (hosted) associated with your Survey123 form (it will have the same name as your survey). Click on its item details page, and then copy the "URL" under the "Details" tab. This is your `serviceURL`.
    * **ArcGIS Online Client ID (`clientId`):** You will need to register an application in your ArcGIS Online organization to obtain a `clientId`. For detailed instructions on how to find or generate this, please refer to the official ArcGIS Online documentation on "Register an application" or "Authentication in ArcGIS Online."
11. **Send Configuration Request to AirSpace Link:** Once your Survey123 form is published and you have obtained the required URLs and IDs, send an email to **<helpdesk@airspacelink.com>**. In your email, include the following information:
    * The **Survey123 Sharing URL** (which contains the `surveyid`).
    * The **Survey123 Feature Service URL** (`serviceURL`).
    * The **ArcGIS Online Client ID** (`clientId`).
    * The **Form location (Operations, Users, Aircraft, or Flight Logs)**
    * The **name of your AirHub® Portal Organization**.

AirSpace Link will then configure your Survey123 form within AirHub® Portal, typically completing this process within 24 hours.

Each feature can have associated attributes like name, description, or numeric values. Feature layers are ideal for visualizing and analyzing spatial data, such as locations of assets, boundaries, or transportation networks.
   2. **Sketch Layer:** A sketch layer allows users without any GIS experience to quickly add markup and annotation to the map.
   3. **Tile Layers:** Tile layers are pre-rendered images, typically displaying high-resolution drone or satellite imagery.
4. **Style and Symbolize:**
   1. Customize the appearance of your layers using symbols, colors, and labels.

**Integrate the Web Map into AirHub Portal**

1. **Obtain the Sharing URL:** With your ArcGIS Online map open, copy the web map URL from the browser.
2. **Configure AirHub Portal with the Custom Web Map:** Send the Web Map URL to <helpdesk@airspacelink.com> along with the name of your AirHub Portal Organization. The configuration is typically completed within 24 hours.

**Support for Secured Services (Optional)**

If your web map is secure or it contains secured services, you may encounter a login prompt when accessing it in AirHub Portal. Consider creating an OAuth2.0 authentication application within your ArcGIS Online instance. Send the Client ID to <helpdesk@airspacelink.com> and we’ll configure a long-standing token for your AirHub Portal organization, minimizing the number of ArcGIS online login prompts for your users.<br>

All data added to your web map will be overlaid on the AirHub Portal web map for all your organization’s Portal users. ServiceNow Work Order (FSM) Integration

Connect AirHub® Portal to ServiceNow Field Service Management (FSM) for two-way work order sync. Drone work requests created in ServiceNow flow directly into AirHub® Portal as work orders, and status updates, work notes, and deliverables from AirHub® flow back to the originating ServiceNow record.

#### Who this is for

# ServiceNow Catalog Integration

Connect AirHub® Portal to ServiceNow's Service Catalog for two-way work order sync, without requiring Field Service Management (FSM). Users submit a Drone Flight Request through the Service Catalog with a drawn map polygon; on submission, a Work Order is automatically created in AirHub® Portal. Status changes in AirHub® flow back to the originating ServiceNow Request Item (RITM) as state updates, work notes, deliverable URLs, and auto-closure of related catalog tasks.

#### Who this is for

This integration is for ServiceNow customers without Field Service Management (FSM) licensed. * The header name AirHub® must use to transmit the token: x-sn-apikey.

#### Installation

Time required: about 30 minutes.

Technical level: ServiceNow admin. No development required.

This method installs the entire integration (all scripts, variables, widget, business rules, REST messages, and cross-scope privileges) in a single step using a ServiceNow Update Set XML file. If your instance does not permit Update Set imports, contact <helpdesk@airspacelink.com> for manual installation guidance.

**Step 1. Obtain the Update Set XML**

Request the file AirspaceLink\_Catalog\_Integration\_v1.1.xml from your Airspace Link implementation contact at <helpdesk@airspacelink.com>.

**Step 2. Import the Update Set**

1. Navigate to **All** → search Retrieved Update Sets → select **System Update Sets → Retrieved Update Sets**.
2. Click **Import Update Set from XML** in the Related Links section.
3. Click **Choose File**, select AirspaceLink\_Catalog\_Integration\_v1.1.xml, and click **Upload**.
4. The imported Update Set appears in the list as AirspaceLink Catalog Integration v1.1.
5. Click the Update Set name to open it.
6. Click **Preview Update Set**. ServiceNow will check for conflicts.
7. Review any warnings in the **Update Set Preview Problems** related list. For a fresh instance, there should be none. If there are conflicts, contact <helpdesk@airspacelink.com> before proceeding.
8. Click **Commit Update Set**.
9. Wait for the commit to complete. This typically takes 30 to 60 seconds.

**Step 3. Verify cross-scope privileges**

The Update Set includes all required cross-scope privileges, but ServiceNow occasionally imports them with **Status: Requested** instead of **Allowed**. This will cause the integration to fail silently.

1. Navigate to **System Applications → Application Cross-Scope Privileges**.
2. Filter where **Source Scope contains** AirspaceLink.
3. For each of the following records, confirm **Status is Allowed**. If any show Requested, open the record and change Status to **Allowed**.

**Step 4. Configure system property values**

Do not skip this section. The Update Set creates the five required system properties. Four of them ship with empty values and must be filled in before testing. If workorder.webhookid is left empty, outbound calls will fail. If it is set to anything other than your own organization's Webhook ID, your Work Orders will route to the wrong AirHub® organization.

Navigate to **All** → type sys\_properties.list → press Enter. Search for x\_airli\_asl\_dr to filter to the integration's properties. Set the **Value** field on each:

After setting all values, re-run the property list query and verify each row shows a non-empty Value field. The api.timeout.ms row should still read 100 unless you intentionally changed it.

**Step 5. Make the Catalog Item visible**

The Drone Flight Request catalog item is imported but may not be visible in your Service Portal depending on your catalog structure.

1. Navigate to **Service Catalog → Catalog Definitions → Maintain Items**.
2. Open **Drone Flight Request**.
3. Confirm the **Catalogs** field includes your primary catalog (e.g., Service Catalog).
4. Confirm the **Category** is appropriate for your portal layout.
5. Confirm **Active** is checked.

**Step 6. Configure the Business Rule filter**

The Business Rule is configured to trigger on the catalog item from the source instance. On a new instance, the catalog item has a different sys\_id and the filter may not resolve correctly.

1. Navigate to **System Definition → Business Rules**.
2. Search for **AirHub - Catalog Operation Trigger**.
3. Open the record and go to the **When to run** tab.
4. In Filter Conditions, verify the Item field reads Drone Flight Request. If the Item field shows as empty or unresolved, click the magnifying glass and re-select **Drone Flight Request**.
5. Click **Update**.

**Step 7. Register your instance with Airspace Link**

Email <helpdesk@airspacelink.com> with:

* Your ServiceNow instance base URL.
* Confirmation that installation is complete and testing is ready to begin.

Airspace Link will confirm the instance is registered as an active source in AirHub® Portal.

### Inbound Authentication Setup

If you need bi-directional sync (AirHub® status updates flowing back to ServiceNow), complete the steps in the **Inbound Authentication Setup** section below before testing. Skip this section if outbound-only is sufficient.

**Step 1. Create the integration service account**

Navigate to **User Administration → Users**. Click **New** and configure:

* **User ID:** airhub.integration
* **First name / Last name:** AirHub / Integration
* **Web service access only:** checked
* **Internal Integration User:** checked
* **Active:** checked

Submit, then reopen the record. In the **Roles** related list, add:

**Step 2. Verify the Auth Parameter**

The Auth Parameter defines the HTTP header name AirHub® will use to transmit the API Key. ServiceNow ships a built-in Auth Parameter (Header for API Key) in Global scope that uses x-sn-apikey as the header name. This integration reuses that built-in record — no new Auth Parameter needs to be created.

To verify the built-in record exists and matches the expected values:

1. Navigate to **System Web Services → API Access Policies → Auth Parameters** (or sys\_auth\_profile\_api\_key\_parameter.list).
2. Open **Header for API Key**.
3. Confirm:
   * **Type:** Auth Header
   * **Parameter Name:** x-sn-apikey
   * **Application:** Global

Do not edit this record. It is shared by all ServiceNow APIs that use API Key authentication.

**Step 3. Verify the HTTP Authentication Profile**

The Update Set installs the Authentication Profile that binds the Auth Parameter to the API Key authentication mechanism. Verify it imported correctly.

1. Navigate to **System Web Services → API Access Policies → Authentication Profiles**.
2. Open **ASL Profile API Key**.
3. Confirm:
   * **Auth Parameter:** Header for API Key
   * **Application:** AirspaceLink Drone Flight Request (Catalog)

If this record is missing or shows a different Auth Parameter, the Update Set did not commit fully. Re-import or contact <helpdesk@airspacelink.com>.

**Step 4. Create the REST API Key**

This is the actual token AirHub® will use to authenticate inbound calls. The key is bound to the service account from Step 1 and to the application scope.

Before creating the key, confirm you are in the correct application scope: click the globe icon (top right) → **Developer → Application → AirspaceLink Drone Flight Request (Catalog)**. The Source field on the key will auto-populate from your current scope, so being in the wrong scope here is the most common cause of silent authentication failures later.

Navigate to **System Web Services → API Access Policies → REST API Key**. Click **New** and configure:

* **Name:** ASL API Key
* **Description:** API Key for AirspaceLink integration
* **User:** airhub.integration (the service account from Step 1)
* **Active:** checked
* **Source:** must read x\_airli\_asl\_dr. If it shows any other value, cancel and verify your developer scope before retrying.
* **Expiry:** Set per your security policy. A blank value means no expiration; for production, set a renewal date and add a calendar reminder.

Submit. ServiceNow generates the token and displays it once on the form (e.g., now\_J2ZUzh3mpcnqfW3a6Ustz...).

Capture the token immediately. ServiceNow will obscure the token after navigation. If lost, the key must be regenerated.

**Step 5. Verify the API Access Policy**

The Update Set installs the API Access Policy that binds the Authentication Profile to the Scripted REST API. Verify it imported correctly.

1. Navigate to **System Web Services → API Access Policies**.
2. Open **ASL API Access Policy**.
3. Confirm:
   * **Active:** checked
   * **REST API:** AirHub Inbound
   * **Apply to all methods / resources / versions:** all checked
   * **REST API PATH:** x\_airli\_asl\_dr/airhub\_inbound
   * **Application:** AirspaceLink Drone Flight Request (Catalog)
4. In the **Authentication Profiles** related list, confirm **ASL Profile API Key** is present.

If the REST API PATH shows a different scope prefix (for example, x\_airli\_asl\_dfr/airhub\_inbound), the policy was bound to the wrong endpoint and inbound calls will not authenticate. Contact <helpdesk@airspacelink.com>.

**Step 6. Verify the Scripted REST API Security tab**

1. Navigate to **System Web Services → Scripted REST APIs**.
2. Open **AirHub Inbound**.
3. On the **Security** tab, confirm Requires authentication is checked.
4. Leave the legacy **Authentication Profiles** related list empty - the API Access Policy from Step 5 now controls authentication for this endpoint.

**Step 7. Transmit credentials to Airspace Link**

Send Airspace Link the following via a secure channel:

Airspace Link confirms storage and registration before testing begins.

### Testing

**Test outbound sync**

1. Navigate to your Service Portal (e.g., /sp).
2. Find and open **Drone Flight Request**.
3. Confirm the map renders. The loading spinner should clear within a few seconds, leaving an interactive map.
4. Fill in all required fields and **draw a polygon** on the map using the polygon or rectangle tool.
5. Click **Order Now**.

**Verify in ServiceNow:** Open the resulting RITM (sc\_req\_item.list) and check the Activity stream. Within a few seconds you should see the work note:

*AirHub Sync Successful. Work Order created in AirHub Portal.*

**Verify in AirHub® Portal:** Navigate to **Manage → Work Orders**. The new Work Order should appear with the polygon rendered at the exact location where you drew it on the map.

**Test inbound sync**

Skip this section if you configured outbound-only sync. Coordinate with Airspace Link before running.

1. Submit a fresh request from the Service Portal to generate a Work Order in AirHub® Portal.
2. In AirHub® Portal, update the Work Order status: schedule it, mark it in progress, then complete it.
3. Watch the corresponding RITM in ServiceNow. Each status change should add a work note and update the RITM state accordingly.
4. On completion in AirHub® Portal, any related catalog tasks should auto-close.


# Survey123 Work Order Integration

### 1. Introduction

This guide outlines the process for integrating Survey123, an external data collection tool, with the AirHub® Portal. The goal is to enable a seamless two-way flow of work order data: allowing work orders to be created in the Portal from Survey123 and reflecting Portal status updates back into the original Survey123 feature layer.

### 2. Overview of the Integration Flow

The integration involves a two-way communication setup:

* **Inbound Flow (Survey123 to AirHub® Portal - Work Order Creation):**
  1. A user submits a Survey123 form.
  2. This triggers an event (e.g., a webhook associated with the Survey123 form submission) to send data.
  3. A **Power Automate Flow (Inbound)** receives this data, transforms the Survey123 format into Airspace Link's standard work order schema.
  4. The Power Automate flow calls the Airspace Link API to create a new work order in the AirHub® Portal.
  5. The work order appears in the AirHub® Portal, mapped to the correct organization.
* **Outbound Flow (AirHub® Portal to Survey123 - Status Updates):**
  1. An update is made to a work order within the AirHub® Portal (e.g., status).
  2. This triggers an internal AirHub® Portal process that calls a **Power Automate Flow (Outbound)**.
  3. This Power Automate Flow transforms Airspace Link's update schema into Survey123's expected format.
  4. The Power Automate flow uses the "Update a Record in a Feature Layer" functionality to publish the update back to the original Survey123 record's feature layer.
  5. The original Survey123 record is updated.

### 3. Pre-Integration Steps & Information Gathering (From Customer)

Before configuring the integration, essential information and access are required from the customer:

#### 3.1. Understand the Customer's Survey123 Usage

* Familiarize yourself with how they intend to use Survey123 for work order intake.
* Understand the design of their proposed Survey123 form and the fields they plan to use.

#### 3.2. Gather Key Information & Access from the Customer

* **Customer's Survey123 Form URL:** The URL of the specific Survey123 form that will be used for work order creation.
* **Customer's ArcGIS Online Credentials (Optional):** If Airspace Link will be setting up the Power Automate flows on their behalf, these credentials may be needed (decision pending on who creates/manages the PAFs).
* **Schema & Field Mapping:**
  * **Ideal Scenario:** The customer uses a Survey123 form based on a schema template provided by Airspace Link. This simplifies the field mapping in Power Automate significantly.
  * **Customization:** If they customize their fields, field mapping details (exact field names and their expected values) will be required to ensure correct translation to Airspace Link's schema.
* **Location Data Handling:** Survey123 can typically collect geometry directly. Confirm how they are collecting location data (e.g., point, polygon) and ensure it aligns with Airspace Link's API requirements.

### 4. Airspace Link Portal Configuration

This section covers the configuration steps on the Airspace Link side.

#### 4.1. Create Power Automate Flows (By Airspace Link)

* **Draft Inbound Power Automate Flow:** Create a Power Automate flow designed to trigger upon a Survey123 form submission and receive its data. This flow will generate a unique URL (if triggered by HTTP request).
* **Draft Outbound Power Automate Flow:** Create a Power Automate flow designed to receive updates from the Airspace Link Portal and publish them back to the Survey123 feature layer.
* **Obtain Outbound URL (If applicable):** If the Survey123 form isn't directly triggering the Power Automate flow, but rather a webhook that then calls an HTTP request, note the unique HTTP request URL generated by Power Automate. This will be used in Airspace Link's `org.json` configuration.

#### 4.2. Update Airspace Link Configuration File

* Navigate to the `org.json` configuration file in the Airspace Link GitHub repository (specific location to be provided by engineering).
* For each environment (e.g., Development, Staging, Production), add a new entry for the customer's organization.
* **Required Data for Each Organization Entry:**
  * `uniqueId`: A unique, randomly generated ID (can be generated by Airspace Link).
  * `org_name`: The exact organization name as defined in Auth0.
  * `org_id`: The unique organization identifier from Auth0.
  * `outbound_url`: The HTTP request URL generated from the *inbound* Power Automate flow (see Section 4.1).

### 5. Survey123 System-Specific Configuration (By Airspace Link and Customer)

* **Edge Cases:** Test various scenarios, including different field values and potential error conditions.

### 7. Important Considerations & Best Practices

* **Power Automate Flow Ownership:** A clear decision is needed on whether customers manage their own Power Automate flows (requiring detailed instructions from Airspace Link) or if Airspace Link creates/manages them using customer ArcGIS Online credentials.
* **Survey123 Form Customization:** While customization is supported, a standardized schema (e.g., via a template provided by Airspace Link) will significantly reduce integration complexity.
* **Documentation:** Capture detailed documentation as you go for each integration, particularly for unique customer configurations, to build repeatable processes.

# DJI Flight Log Syncing

This guide will walk you through installing the AirHub Sync App for DJI on your compatible Android-based DJI controller to enable automatic flight log syncing with your AirHub Portal account.

**Compatibility**

* **Supported AirHub Portal Organizations:** Your Organization must have a ‘Team’ or “Advanced’ license.
* **Supported Controllers:** DJI RC Pro controllers running DJI Pilot 2 app.
* **Supported DJI Ground Control Station (GCS) Apps:** DJI GO/GO 4 and DJI Pilot/Pilot 2.
* **Unsupported:** iOS devices and the DJI Fly GCS application.

**Step 1: Download the AirHub Sync App APK**

(Before you begin, ensure your DJI controller has an active internet connection (Wi-Fi or cellular data)).

The AirHub Sync App is provided as an Android Package Kit (APK) file for direct installation on DJI enterprise controllers.

* On your DJI controller's web browser, navigate to the following URL to download the APK file: `https://tinyurl.com/airhubsync`
* The download should begin automatically. Once complete, you may see a notification in your device's notification bar.

**Step 2: Enable Installation from Unknown Sources**

**For security reasons, Android devices (including DJI controllers which run a custom version of Android) typically block installations from sources other than official app stores. You will need to temporarily enable this setting.**

* Go to your DJI controller's **Settings** menu.
* Look for options like **Security**, **Apps & notifications**, or **Privacy**.

* You might encounter a warning about the risks of installing apps from unknown sources. If presented, accept the risk to proceed with the installation.
* Once the installation is complete, you will see an "App installed" message. You can tap **Done** or **Open**.

**Step 4: Login to AirHub Portal**

After the initial app setup and permissions are granted, you will be directed to the login process.

* The app will present a login screen.
* Enter your **Email Address** associated with your existing AirHub Portal organizational account.
* Tap **Continue**.
* Next, enter your **password** for your AirHub Portal account.
* Tap **Confirm** or **Login**.
* If your account is associated with multiple organizations in AirHub Portal, you will be prompted to **Choose an Organization to Continue**. Select the relevant organization.

**Step 5: First-Time App Launch and Permissions Setup**

Upon first launch, the AirHub Sync App will guide you through necessary permissions and folder selection.

* After logging in, the app will request **Required Permissions**. These are essential for the app to access flight logs. Tap **Allow** or the appropriate option to grant permissions.

**Automatic Background Syncing:**

The AirHub Sync App supports seamless automation, operating in the background to simplify your workflow.

* To activate automatic background syncing, navigate to “Settings” and toggle on automatic file sync. Now, once a flight concludes, the app intelligently detects the newly generated DJI flight record file on your device. It then securely and automatically transmits this file to your AirHub Portal account without requiring any further manual intervention.

**Step 7: Confirm Flight Log Syncing**

Once files are synced (either manually or automatically), flight logs are created in your AirHub Portal account. Navigate to <https://portal.airspacelink.com/manage/flightlog> to confirm files are syncing properly.

This functionality empowers users with organization accounts to easily upload drone telemetry data and link it to their flight logs, capturing true flight activity, and providing precise and accurate data for compliance, asset monitoring, and pilot currency.

**Supported Platforms**

* AirHub® Portal supports importing flight record data from various platforms, making it easy to integrate with your existing systems: **DJI Flight Records:** \[“.txt”]
* **Pixhawk Aircraft:** \[“.bin”]
* **Other generic file types:** \[“.csv”, ".gpx", and “.kml”]

**How to Use**

Using the flight record upload feature is straightforward:

1. **Select or Create a Flight Log:** Start by choosing an existing flight log or creating a new one in AirHub Portal.
2. **Upload Your Flight Record:** Upload your telemetry file directly to the selected flight log.
3. **Link the Data:** In the **Summary** tab, find the **Telemetry** section, select your uploaded file, and click the button to parse and link the telemetry data.

Once completed, your flight path and other key metrics will be automatically updated in your flight log.

**How to Download Telemetry Files from Your Aircraft, Controller, or Ground Control System.**

**For DJI Aircraft**

You can obtain telemetry files directly from the aircraft controller or through the DJI app:

**Method 1: Downloading from the DJI App (DJI GO 4 or DJI Fly)**

**iOS device & Mac computer:**

1. **Connect phone to computer**: You may need to have your phone “trust” the computer
2. **In Finder, select the device**: The phone should show up as a drive under “Locations”
3. **Select “Files,” expand the DJI GO 4 or Fly folder, and click on “FlightRecords.”:** This folder contains the DJI flight record files

**Method 2: Downloading from the DJI Controller (Smart Controller, RC Pro, CrystalSky)**

1. **Connect the Controller to Your Computer**: Use a USB cable to connect your DJI controller to your computer. Ensure device-specific file transfer is enabled.
2. **Access the Internal Storage**: Once connected, the controller’s internal storage should appear on your computer as an external drive.
3. **Navigate to the FlightRecord Folder**: Open the drive and navigate to the folder where the telemetry files are stored. This is usually under the DJI/dji.go.v4/FlightRecord directory (for DJI Go devices) or DJI/com.dji.industry.pilot (for DJI Pilot devices).

**For Pixhawk Aircraft**

Access telemetry files from your Pixhawk flight controller in the following ways.

1. **Remove SD Card from flight controller**: Connect to computer
2. **Download binary (.bin) log file**: Log files located at /APM/LOGS

**Method 2: Mission Planner**

1. **Connect vehicle to Mission Planner**: Can connect via USB or radio
2. **Access DataFlash Logs**: Select “FLIGHT DATA” and beneath the primary flight display, select “DataFlagh Logs” and “Download DataFlash Log via Mavlink”
3. **Select and download selected logs**: Select desired log(s) for associated Portal flight logs

The Live Flight Viewer's functionality and display are controlled by specific URL parameters. These dictate what data is shown and how the map initially appears.

  * Retrieval: Obtain both the unique `apiKey` and `orgId` from the Obelix team.
* Map Centering Location (`loc`):
  * Retrieval: Get the Latitude and Longitude for the initial map location from AirHub Portal's b4ufly widget., the coordinates are displayed with each click on the map.
* Program ID (`programId`):
  * Retrieval: If applicable (i.e., if multiple organizations belong to a program), the Obelix team will create the specific`programId`.
